One of the best strategies to boost your business and ensure a top-tier experience for your customers is to be available when they need you. While you can't be present around the clock, allowing customers to schedule appointments online means your business is always open. This feature, which can be integrated into your website, Facebook page, and other social media platforms, not only simplifies the booking process for customers but also minimizes the time you spend on phone scheduling. Plus, it gives you a competitive edge in customer service.
Online booking isn't merely about providing a user-friendly calendar on your site; it's a proven tool that enhances time management for businesses, amplifies service opportunities, and fosters trust with customers.
When a customer goes through your online booking process, they are adding into Servgrow automatically as a 'request' with the time and day they prefer and you are notified immediately.
Online booking is available on all plans for a limited time only.
In this tutorial, we'll cover setting up your online booking form so you're ready to take requests from day 1.
Your online booking settings are managed from the Gear Icon > Online Booking.
Let's get to it!
Setting up your Online Booking is done in 4 parts.
Let's start with start with General Information:
1. General Information
General information consists of naming your online booking form and URL of the online booking form, your available time ranges, your services available, and a non-editable section.
Name and URL:
Name: This is where you want to title the online booking form to best fit your company. (Book Online, Free Estimate, etc.)
URL: For best practice, you'll want to edit the URL so that it matches your company brand.
URL example: /online-booking/your-company-name
Time Ranges
Time ranges are there for your customers to select their preferred day and time for the service.
If 'Custom' is toggled OFF, your customers will see a general list of preferred days and times.
If 'Custom' is toggled ON your customers will see a a few more options.
Minimum time to book out:
This sets a minimum number of hours or days that customers are allowed to book out.
Example: If you set the minimum time to book out at '2 Days', if a customer is booking on Monday, the earliest booking they see will be on Wednesday.
Show only non-booked time slots:
Toggled on > If this is toggled on, customers will only see times during the specified day that are not scheduled within your calendar.
Toggled off > If this is toggled off, customers will see all times.
Select Time Ranges (Select option):
Time ranges (time windows) are time windows for your customers to book during the selected day. The ranges will be displayed during your set office hours. To set your office hours, you can do that in your company profile.
Time range options are 1 hour, 1.5 hours, 2 hours and 3 hours. These ranges will be displayed during your set office hours. (You can set your company hours are in your company profile).
Example: Time range set to 1 hour.
The image below shows what your customers will see when setting time range for 1 hour with your company hours being set to 9am to 5pm on the selected booking day.
Services
To give your customers services to select from, 'Available' needs to be selected and then you'll need to add the services you're wanting your customers to select from.
If you don't want to give your customers a list of services to choose from, then leave this box unchecked. This will leave only service questions to be answered by your customers.
+Adding Services
You can only add services from the services and materials listed in your price book. If you don't have services listed in your price book, then there won't be any services to choose from.
Go to your price book here to start adding services.
To start adding services, just check 'Available' and then the blue +Add Service button. This will open up the services listed in your price book.
Now, just click on the category to show the list of services to select from. Then, check the box next to the service to add that to the online booking form.

Non-editable section is only for you to review and understand what else is asked during the process.
2. Questions
The 'Questions' portion of the form is great for gathering additional information from your customer.
As of now, you can add 4 Question Types. They are:
Text Fields: Allows the customer to write in the answer.
Radio Buttons: This allows the customer to choose 1 answer only.
Multiple Choice: Allows the customer to choose 1 or more answers.
Image Upload: Allows the customer to upload images.
*Below is an example of adding a radio button question so a company knows how many rooms to clean.
Now that your form is set up, it's time to update how you'll be notified when someone books via your online booking form.
3. Notifications
When someone books via your online booking form, how you'll be notified will depend on your notification settings.
Emails: You can add up to two emails to receive the notifications.
Phone numbers: You an add up to two phone number to receive the notifications.
4. Showcasing Online Booking Form
Showcasing your online booking form can be done in multiple ways.
Your online booking form is automatically added to the customer portal so that your customers can book directly from their personal customer portal area.
First, let's copy your online booking link.
1. Adding the online booking link to social media profiles
When a customer clicks on social media button, they are brought to your online booking form. Simply add the link as the destination for when someone clicks your social media button.
2. Adding the online booking link to your website
When a customer clicks on a website button, they are brought to your online booking form. Simply add the link as the destination for when someone clicks your website button.
3. Embedding as an iFrame (Need technical assistance)
With the help of iframes, you can integrate your online booking form into a website.
Adding your online form as an iframe is a great way to make it look like a part of your website when someone visits the form.
Embedding an iframe is very simple but will vary depending on the website platform you're building your website on. We will explain the procedure step by step:
First, you'll want to get your online booking link. Navigate to online booking in Servgrow and 'copy link'.
Next, you want to use the following iframe code: <iframe width="100%" height="1000px" src="YOURONLINEBOOKINGLINK" frameborder="0" allowfullscreen></iframe>.
In the iframe code, replace YOURONLINEBOOKINGLINK with you online booking link that you copied from Servgrow.
For “width” and “height,” you'll want to set this so it fits your website accordingly. You can set the values in relation to the website in percent or pixels.
Now that you have the correct code, you'll want to embed this on your website via an 'embed' widget or place it directly into an HTML site.
