Setting up your Postcard Automation: Step-by-step Instructions

To allow you the best pricing for postcard automation, we have integrated with Zapier and PostGrid.

First, you'll need to sign up for a free Zapier account and a free PostGrid account. Don't worry it's free, super easy and takes only takes a couple minutes. It's worth it for the money you'll be saving with Servgrow postcard automation!

After you have created accounts to Zapier and Postgrid, it's time to set up your automated postcards.

Setting up your automated postcards campaigns

1. Postcard designs

First things first, we need postcards to send. Your postcard designs will be created/added into Postgrid. Let's get some designs in there.

We can help set this up for you! Just click the chat icon in the bottom right and ask us to help!

  • Name/Describe the template and click 'Create'

  • Select the Country, size, front or back and then 'Start Editing'

    *Sizes can be 6x4, 9x6 or 11x6. Our pros suggest using the jumbo-size 9x6 for best results. And, you'll need to add the front and the back.

  • From here, you can design your own or upload a design you have.

    Wanting to upload your own? Guidelines are below:

  • After you have added the front/back, click 'Save Design'

Now that you have the designs in Postgrid, it's time to create the automated campaigns for sending out the postcards.

2. Payment Method

100% transparent pricing. For zero upcharges and add-ons, you'll need to set up a payment method with PostGrid.

  • Visit the Postgrid dashboard and navigate to Payment

  • Add you payment method and you're all set!

3. Postcard Automation Settings

Your postcard automation setting will be handled through Zapier. Zapier will take real time information from Servgrow (job finished, job scheduled, etc.) and send it to Postgrid.

Note: You'll need to have the front and back designs set up in Postgrid that you want to send out prior to setting up the campaign in Zapier.

  • Give you Zap (Automation) a title

Example "Job finished - Thank You Postcard - Sent ASAP"

  • Choose the 'Trigger' App: Search for and select Servgrow. (The trigger is 'Job Finished')

  • Select the event (Job Finished for this example)

And click Continue

Next, you'll need to connect your Servgrow account.

  • Connect Servgrow

You will get a pop up to enter some information (Make sure you have popups allowed or you won't see it)

You'll need your email address (that you use to log into Servgrow) and the API key found in Servgrow.

The API Key can be found in Servgrow settings ⚙️ > Integrations > Zapier

Now, paste the API key in and enter your email and select 'Yes, Continue'.

You have now connected Servgrow!

Click 'Continue'

  • Test the Trigger (Event)

Click 'Test Trigger'

Note: You will need at least 1 'job finished' in your Servgrow account to properly test

Note: We recommend adding a dummy job with you as the recipient, selecting 'job finished' and then coming back here to test this trigger. If you don't see your information, click on the job and then 'load more' when looking for the job.

If you have at least 1 job finished in Servgrow, you will see this message.

Click 'Continue'

  • (Optional) Set Action: Delay

For this example, we are NOT setting a delay but for other campaigns, this is where you would set a delay for when you wanted to send the postcard.

Note: You can choose any amount of time to delay. (1 hour, 3 days, 2 weeks, 6 months, etc.)

For this example, we want to send a 'Thank You' postcard ASAP so we are not going to set the delay.

Move to the next step...

  • Choose the Action App: Search for and select Postgrid.

Postgrid will be performing the 'action' of sending the postcards

*Select the latest version if there are two or more

  • Select the Event: Create Postcard

Click 'Continue'

  • Connect Postgrid

You will get a pop up to enter some information (Make sure you have popups allowed or you won't see it)

You'll need your PostGrid API key found in your Postgrid account 'settings'

*Copy the 'live' API key

Click 'Continue'

  • Set Up the Action

Recipient First Name

This is where you will bind each data field so that each postcard is custom to who you're sending it to. Information is taken from when you 'tested' the Servgrow Trigger. If you don't see the correct field, select 'Show all Option' to find them.

Then, scroll down and click on the correct line that has the recipient's name.

Ok, let's bind the fields. Bind each of these fields below:

  1. Recipient First Name

    *Either recipient first name or company name (below) is required to send

  2. Recipient Last Name

  3. Recipient Company Name

    *Either recipient first name or company name is required to send

  4. Recipient Address

    *Recipient address needs to go all on one line and separated by commas. You can choose property address or billing address but make sure all from property fields or billing fields- and in one line.

    (Street Line 1, Street Line 2, City, State, Zip)

    *Skip these individual recipient fields (Address 2, City, Province or State, Zip Code)

  5. Recipient Country

    *Type in: US or CA (Don't bind)

    Ok, this is all the binding of fields that you need. Everything else will be the same for each postcard sent- YOUR company info. So you can just type in the fields.

  6. Sender First Name

    *Either recipient first name or company name is required to send

  7. Sender Last Name

  8. Sender Company Name

    *Either recipient first name or company name is required to send

  9. Sender Address

    *Sender address needs to go all on one line and separated by commas (same as recipient). You can choose property address or billing address but make sure all are from the property fields or billing fields- and all on one line.

    (Street Line 1, Street Line 2, City, State, Zip)

    *Skip these individual sender fields (Address 2, City, Province or State, Zip Code)

  10. Sender Country

    *Type in: US or CA

  11. Size

    Choose 9x6

  12. Front HTML (Postcard Front)

    This is where we add the front of the postcard. We get this from PostGrid.

  13. Back HTML (Postcard Back)

    This is where we add the back of the postcard. We get this from PostGrid.

    *Skip PDF URL and Send Date

    Click 'Continue'

  • Test Action

This is optional as testing this action will send a postcard to the recipients.

Note: If you added the dummy job with your information as the recipient, then testing this will send you a postcard.

Click 'Skip Test' or 'Test Action'

If you click 'Test Action', you will be able to see the postcard in PostGrid waiting for the next batch schedule.

That's it!

Bonus: Automation Campaigns Ideas

  • Job Finished: When the job is finished send a 'Thank You' postcard to the customer immediately.

  • Job Finished: When the job is finished - wait 3 months - then send a 'Due for Service' postcard to the customer.

  • Job Scheduled: When the job is scheduled send a "Thank you" postcard to the customer.

  • Job Scheduled: When the job is scheduled send a "What to Expect" postcard to the customer.

There you go, now set those automated postcard campaigns up!
